Effective health information management plays an important role in supporting quality patient care, accurate reporting, informed decision-making, and efficient hospital operations. We are therefore seeking a detail-oriented, organised, and responsible Technical Officer / Technical Assistant – Health Information to support the management and use of health information across the hospital. Role Overview The Technical Officer / Technical Assistant – Health Information will support the collection, processing, management, analysis, storage, and reporting of health information. The successful candidate will maintain accurate patient and health records, support data quality, prepare routine reports, assist with health information systems, and ensure that sensitive patient information remains accurate, secure, and confidential. Key Responsibilities Collect, receive, process, and maintain accurate health and patient information. Register and update patient information in accordance with hospital procedures. Maintain accurate and complete patient records in both electronic and physical formats. Enter clinical and administrative data accurately into approved health information systems. Review records and data to identify missing, incomplete, inconsistent, or inaccurate information. Follow up with relevant departments to correct data discrepancies and improve data quality. Compile routine health statistics and operational data for internal reporting. Prepare periodic reports and summaries for management and relevant health authorities. Support the timely submission of required health information reports. Maintain organised filing and retrieval systems for patient and health records. Retrieve patient records and health information promptly when authorized staff require them. Ensure that records remain properly indexed, stored, updated, and accessible to authorized personnel. Maintain strict confidentiality and protect patient information from unauthorized access or disclosure. Follow applicable hospital policies and procedures relating to health information management, privacy, and data security. Support the use and maintenance of electronic health information and hospital information systems. Monitor data completeness, accuracy, timeliness, and consistency across relevant records and systems. Assist with routine data audits and quality-assurance exercises. Generate basic statistical reports, tables, charts, and summaries to support management decision-making. Support clinical and administrative departments with approved health information requests. Assist with the preparation of information required for audits, accreditation, planning, and service reviews. Maintain appropriate documentation of data sources, reporting processes, and information requests. Support the development and improvement of health information management procedures. Assist in identifying trends and patterns in hospital data that may support service planning and improvement. Work closely with clinical, administrative, finance, records, IT, and other relevant teams to ensure accurate information flow. Provide basic guidance to staff on appropriate documentation and health information procedures where required. Support data backup, security, and safe handling procedures in line with hospital requirements. Participate in training, quality-improvement activities, and professional development programmes. Stay informed about developments in health information management, data systems, reporting requirements, and relevant healthcare practices. Perform other health information and records-management duties assigned by the appropriate hospital authority. Educational & Professional Requirements A recognised Diploma, HND, Bachelor’s degree, or equivalent professional qualification in Health Information Management, Health Informatics, Medical Records Administration, Information Management, Statistics, or a closely related discipline. Relevant professional registration or certification will be an advantage. Practical knowledge of health information and medical records management. Understanding of healthcare data collection, processing, storage, analysis, and reporting. Good computer literacy and ability to work with electronic health information systems. Strong data-entry and record-keeping skills. Good knowledge of Microsoft Office applications, particularly Excel and Word. Strong attention to detail and accuracy. Ability to handle confidential and sensitive patient information responsibly. Good analytical and problem-solving skills. Strong written and verbal communication skills. Ability to work effectively with clinical and administrative teams. Previous experience in a hospital, clinic, health facility, or health information environment will be an advantage.
